Reusable Saved Instructions for Repetitive Tasks

Lesson 14 of 15

Is lesson ke baad tum

Save stable task rules and supply fresh facts each time. Test the saved version with changed inputs; it is a reusable starting point, not autonomous background work.

In this lesson

Separate a recurring task's stable instructions from its changing inputs. Then test the same instruction on two sets of notes. Use a workspace available from Lesson 3.2 or paste a local template manually.

Saved instructions are defaults used when you invoke the configured assistant. They do not, by themselves, schedule work, monitor messages, or send an email.

Save the Stable Part

An email summary's section names may remain the same each week. Its decisions, dates, and owners do not. Save the format and evidence rules; supply the current notes each time.

Keep the library entry from Lesson 5.1 as the maintained source. If you save a copy inside a product, record its version so the two do not quietly diverge.

Worked Example

Use these standing instructions:

prompt to try6 lines
Convert the supplied meeting notes into three sections:
Discussed / Decisions / Next steps.
Use plain English, under 120 words.
Report only supplied facts. Keep proposals separate from decisions.
For an empty section, write "Not recorded in the notes."
Do not invent owners or dates. Draft only; do not send anything.

Fictional notes A: “Discussed the workshop poster. Agreed to use the green design. Sana will send the draft on Tuesday.”

A passing illustrative summary is:

Discussed: Workshop poster.
Decisions: Use the green design.
Next steps: Sana will send the draft on Tuesday.

Sana and Tuesday come from the notes. They must not become permanent parts of the instruction.

Do This Now

Keep the standing instructions unchanged. Use these new notes:

prompt to try4 lines
Fictional notes B:
Discussed extending shop opening hours.
No decision was made.
No owner or follow-up date was recorded.

Predict which fields should change, then run the second task or write its expected result manually. Check it against notes B.

Sample acceptable result:

Discussed: Extending shop opening hours.
Decisions: No decision was made.
Next steps: Not recorded in the notes.

A summary that says “Sana will update the hours on Tuesday” has copied facts from notes A. Remove those facts from saved instructions or examples, label the current input clearly, and retry.

If using a saved workspace, begin a fresh task there with notes B and confirm that the intended instructions are active. If the feature is unavailable, manual pasting completes the same learning task.

Choose the Right Scope

Use a task-specific workspace when instructions should apply only to meeting summaries. Account-wide preferences may affect unrelated chats; do not place a client's private rules there without checking their scope.

As checked on 17 October 2026, new personal-account GPT creation is unavailable. Existing custom GPTs are scheduled to stop running on 11 December 2026; only qualified, approved Enterprise deferrals extend retirement to 11 February 2027. Follow the applicable account/workspace notice. For new practice, use the local template or another available workspace verified in Lesson 3.2. Google also announces a November 2026 transition from personal-account Gems to skills. Retest after any migration. No purchase is needed for the supplied/manual exercise.

Maintain and Measure

Review the instruction when the task changes or a test fails. Update the library version first, then the saved copy. Compare setup and review effort with manual pasting before deciding the feature is useful.

For real meeting notes, remove information you are not authorised to upload. A correctly formatted draft still requires human review before it goes to a client.
