Tracking Applications in a Simple AI-Assisted Spreadsheet
Is lesson ke baad tum
Record what was sent, preserve stages already reached and use the tracker to choose the next justified action.
In this lesson
Build a four-row practice tracker and use it to find one due action. A saved vacancy is a lead; an application needs a record of what you actually sent. Use Google Sheets, Excel or an offline spreadsheet. The examples below are fictional.
Start With These Rows
Create a sheet named Applications. Paste this CSV into A1, importing or splitting on commas if it lands in one column. Columns A–L must remain in this order for the formulas.
Role,Company,Source,Job URL,Variant Sent,Date Applied,Stage,Next Action,Next Action Date,Notes,Furthest Stage,Outcome
Junior analyst,Sample A,Employer,https://a.example/jobs/1,analyst-a.pdf,2026-10-01,Applied,Check stated response window,2026-10-04,No reply,Applied,Active
Reporting assistant,Sample B,Employer,https://b.example/jobs/2,reporting-b.pdf,2026-10-02,Screen,Prepare spreadsheet example,2026-10-06,Screen completed,Screen,Active
Data assistant,Sample C,Employer,https://c.example/jobs/3,data-c.pdf,2026-09-20,Closed,,,Rejected after interview,Interview,Rejected
MIS assistant,Sample D,Employer,https://d.example/jobs/4,,,,Verify eligibility,2026-10-06,Saved lead only,,The example URLs are placeholders, not real vacancies. E records the exact resume variant, F the sent date, G the current stage, H–I the next action and date, K the furthest stage, and L the outcome.
Use consistent stage names: Applied, Screen, Interview, Assessment, Offer, Closed. Outcome can be Active, Rejected, Withdrawn or Accepted. A saved lead has no applied date, variant sent or furthest stage yet.
Worked Example
Use 5 October 2026 as the review date. Sample A's 4 October action is due; B's preparation is due tomorrow. C is closed. D still needs eligibility checking, but was never submitted.
C reached an interview before rejection. Keep Interview in Furthest Stage when Current Stage becomes Closed. Otherwise your history would incorrectly say no interview occurred.
In a separate sheet, try:
Applications:
=COUNTIFS(Applications!E2:E5,"<>",Applications!F2:F5,"<>",Applications!K2:K5,"<>")
Reached screening:
=COUNTIF(Applications!K2:K5,"Screen")+COUNTIF(Applications!K2:K5,"Interview")+COUNTIF(Applications!K2:K5,"Assessment")+COUNTIF(Applications!K2:K5,"Offer")
Reached interview:
=COUNTIF(Applications!K2:K5,"Interview")+COUNTIF(Applications!K2:K5,"Assessment")+COUNTIF(Applications!K2:K5,"Offer")Enter only the formula after each label into its own cell. Expected counts: 3 applications, 2 screens, 1 interview. The rates are 2/3 reached screening and 1/2 progressed from screening to interview.
These stage formulas assume every later stage passed through the earlier ones. If an employer skips screening or reverses assessment/interview, record actual event dates and count those instead. A personal three-application sample cannot establish which source or resume is best.
Hands-On Exercise
Copy the rows and reproduce the three counts by hand or with the formulas.
Change B to Closed / Rejected after its screen. Keep K as Screen. Predict the counts before recalculating.
Write one next-action note for A. Its current note gives no employer response window, so first check the original vacancy or acknowledgement; do not automatically send a reminder.
Check: the three counts remain 3, 2 and 1. Active applications fall from two to one. Closing B changes its outcome, not the fact that screening occurred.
Ask AI, if available: “Review these fictional rows as of 2026-10-05. Show counts, due actions and missing information. Do not infer why an employer rejected someone or stayed silent.” Reject any claim that the resume caused rejection; the rows contain no such evidence.
Keep the Sheet Usable
Dropdowns can prevent labels such as “HR call” and “Screening” from splitting one category. In Google Sheets, select the cells, choose Insert > Dropdown, and enter the fixed values.
For optional date highlighting, select I2:I5 and add this custom conditional-formatting formula:
=AND($I2<DATE(2026,10,5),$L2="Active",$I2<>"")It should highlight only A's date in this sample. Make sure imported dates are recognised as dates, not text. For a live sheet, replace DATE(2026,10,5) with TODAY() and extend all ranges consistently.
Keep practice rows separate from real applications. Before sharing real rows with AI, remove personal contacts, CNIC, private messages and unnecessary employer details. Check the spreadsheet's sharing permissions.
Completion Rubric
You can distinguish the saved lead from three submitted applications, retain C's interview history and explain why rejecting B does not erase its screen. Your action note for A requests missing timing information without guessing the cause of silence.

Your tracker uses Screen, HR call and Screening for the same stage, so a formula misses rows. What repair preserves the intended count?
