Set Up a Content Toolkit With Source and Permission Records

Make one draft traceable to its facts and asset permissions. You will repair a small content packet; a local note is enough.

The proposed asset is an Instagram carousel. A product fact and permission to use someone's material are different checks. A customer's praise cannot establish waterproof performance, and permission for WhatsApp Status does not cover this proposed Instagram use.
Worked Example
Draft: “Fully waterproof organiser, 30×20×15cm. See our customer's message.”
Keep the dimensions under C1, reject C2 and leave P1 out of this carousel. A supported line is:
Measure your shelf first: model ABC is 30×20×15cm [C1].
Use A1 for the image. In a source log, record claim ID, exact claim, source file/page or URL, source owner/date, checked date and decision. In a separate rights record, keep asset ID, permitted channel/use/edits, expiry if any and permission evidence.
Give tools narrow jobs: browser finds original sources; an assistant drafts from approved facts; an editor lays out approved copy; a calendar records the reviewed version. A model's citation still needs opening and checking.
Create the Small Working Kit
Use three local folders or note sections: sources, drafts and approved. Store any permission evidence with restricted access, apart from the public export. Record the final asset's version so the scheduled file can be compared with the approval.
Save this instruction locally or paste it beside a brief:
Use only the approved claims and assets I supply.
Keep claim IDs beside factual sentences during drafting.
Mark unsupported facts [EVIDENCE NEEDED]; do not invent sources or permissions.
Do not include private messages or personal identifiers without the required approval.
Return the draft and a separate list of claim/asset IDs for review.If using ChatGPT custom instructions, current web/desktop help places them under Settings→Personalization; mobile uses Customize ChatGPT. They guide drafting, but do not enforce access control. A saved local instruction is sufficient for this exercise.
Google Drive inherits parent-folder permissions. If you later use it for permission evidence, use an appropriately restricted or limited-access folder and inspect actual access; a folder name such as private does not protect it.
Hands-On Exercise
Create two source-log rows for C1 and C2, an asset row for A1 and a permission decision for P1. Draft a two-sentence caption using only approved material.
Then the supplier sends v3: model ABC is now listed as 32×20×15cm. State what must change in the draft, source record and approved export. Do not silently overwrite the old evidence.
Completion Rubric
C1 is supported only for the named model; C2 is unsupported. A1 may be used within its stated scope. P1 cannot be reused on Instagram under the supplied permission.
Update the dimension claim and source version, recheck the revised draft and approve a new export. Mark the old export superseded so it is not scheduled as current. Another reviewer should be able to follow the claim and asset IDs without receiving private customer material.
The kit is complete when the records explain both inclusion and rejection. Expanding the toolkit beyond these records is optional.
